A scanner creates a document image, or a picture of a document. The paper document then becomes an electronic document, which can refer to either an image or an electronically generated document such as a word processing, spreadsheet, e-form, or HTML page. Once an image is captured, automatic recognition technology, like OCR/ICR can be applied to it. Automatic recognition can be used to convert printed text into electronic data.

 

Image Formats & Compression Technologies — Document images can be stored in a variety of image file formats which use different compresion technologies. Historically, TIFF, Group 4 has been the most popular file for processing and storing document imaging, but in recent years, PDF and JPEG have gained popularity.

 

This conversion of paper documents to images is done through a combination of document imaging hardware and software. The following are the primary categories of document imaging software.

 

Document Capture — The process of converting a paper document to an electronic format.

Fax Server — Software that can be used to digitally send and receive faxes.

 

Once a paper document has been converted into an image, image viewing and annotation technology is used to work with that electronic image.
